Project Timeline

January 2025

AU functional groups are collaborating with Ellucian consultants on modernization and optimization sessions. Sessions are focused on identifying processes that will remain compatible with Ellucian's SaaS environment and developing strategies for alternative processes to replace incompatible workflows. The ITS Colleague team is concentrating on converting existing code to ensure SaaS compliance and implementing Ethos, Ellucian's integration tool.

Modernization and optimization sessions continue with AU functional groups while the ITS Colleague team progresses with updating code to be SaaS compliant. ITS collaborates with Ellucian on the initial Experience dashboard installation, a prerequisite for the Insights reporting tool deployment. The test instance of the Colleague/Brightspace integration tool, ILP, is deployed, and pre-planning begins for the first test migration from the existing Colleague version to the cloud.

March

The first test migration from AU’s onsite Colleague to Ellucian's cloud will be conducted, with ITS analyzing results to identify improvement areas. AU functional groups may also address these in ongoing modernization and optimization sessions. The production instance of the Colleague/Brightspace integration will be ready for Summer 2025 courses, with ITS providing faculty documentation for the grade pass-back feature from Brightspace to Colleague. Initial setup and configuration of the Ellucian Insights tool begins.

The optimization and modernization sessions conclude this month as reporting discovery sessions begin for each functional group, and Ellucian provides additional Insights configuration. Over the coming months, ITS works to update several Colleague third-party integrations for cloud compatibility. Pre-planning for the second test migration begins.

April

May

The second test migration is performed with ITS monitoring its status to prepare for the subsequent test migration. The remaining Insight training and setup will be completed, and the migration of Informer reports continues over the next several months.

Planning for the third test migration begins. ITS continues working with functional groups on third-party integrations with Colleague while departments progress toward creating reports in Ellucian Insights.

June - July

August - October

The third test migration is completed with all functional groups participating in user acceptance testing to verify process functionality in the cloud environment. Planning begins for the fourth test migration.

The fourth test migration is conducted, with ITS identifying potential errors to address before the go-live migration. ITS and functional groups will finalize third-party integrations where possible and resume any remaining third-party migrations. Go-live migration planning begins, with increased communications to the campus community about the January implementation.

November - December

January 2026

AU's current hosted Colleague instance will migrate to Ellucian's cloud environment. Following migration completion, AU functional groups will test the production environment while ITS re-enables third-party integrations for the cloud version of Colleague. ITS will collaborate with Ellucian and AU functional groups to ensure Colleague is fully operational in the cloud.
